Job Description

The Administration & Projects Coordinator is responsible for supporting the day-to-day operations of a leading private sector organisation. The role provides administrative,

financial and operational support while coordinating stakeholders, projects, events and business initiatives. The successful candidate will work closely with senior management,

external organisations, government entities and industry stakeholders to ensure the smooth delivery of strategic objectives.

Key Responsibilities

  • Coordinate the day-to-day administrative operations of the organisation.
  • Manage relationships with members, sponsors, partners and external stakeholders.
  • Support member recruitment, engagement and retention initiatives.
  • Assist in sponsor acquisition, relationship management and sponsorship administration.
  • Coordinate meetings, networking events, conferences and business activities.
  • Prepare agendas, minutes and follow up on action points.
  • Monitor cash flow administration, invoices, collections and administrative budgets.
  • Prepare reports, presentations and management documentation.
  • Maintain accurate databases, records and filing systems.
  • Liaise with government ministries, public authorities, regulators and other stakeholders. 
  • Monitor developments in government policy, legislation and regulatory frameworks affecting the organisation and its stakeholders.
  • Review public consultation documents, draft legislation and government policy proposals, and prepare summaries and recommendations for senior management.
  • Coordinate the preparation of consultation responses, position papers and policy submissions. 
  • Conduct research and analysis on economic, business and regulatory matters.
  • Prepare briefing notes for meetings with government officials and stakeholders.
  • Support strategic projects and perform other duties assigned by senior management. 

Requirements

  • Diploma or Bachelor's degree in Business, Public Policy, Law, Economics, Communications or a related discipline.
  • Previous experience in administration, project coordination, stakeholder management or public affairs.
  • Experience reviewing legislation, government policies or public consultation documents is considered a strong asset.
  • Good understanding of Maltese government structures, public administration and the legislative process.
  • Strong analytical, research and report-writing skills. 
  • Excellent written and verbal communication skills in English; Maltese is considered a strong advantage.
  • Excellent organisational skills with the ability to manage multiple priorities.
  • High level of professionalism, discretion and confidentiality.
  • Proficiency in Microsoft Office applications.
  • Fluent in both written and spoken Maltese and English.
