Role Overview
The Business Support Executive will provide essential executive support to the Deputy General Manager, ensuring seamless operations across all levels within the company. This role involves high-level interaction and access to sensitive information, requiring discretion, tact, and judgment. The successful candidate will be responsible for preparing briefing materials, reviewing and improving reports, assisting with business monitoring, and supporting the Deputy General Manager in various strategic initiatives and projects.

Key Responsibilities

Briefing and Research: Conduct preparation and research to produce detailed briefing materials on significant matters requiring the Deputy General Manager’s attention.
\r\n
Report Review and Executive Summaries: Review all company reports, providing input for standardisation and improvement, and create executive summaries to highlight key concerns.
\r\n
Business Monitoring: Assist in monitoring company business plans and department KPIs, ensuring timely delivery of reports and highlighting action areas.
\r\n
Meeting Organisation and Minutes: Help organise meetings, take minutes, circulate them, and follow up on actions post-meeting.
\r\n
Presentation Preparation: Prepare and compile reports and presentations as per the Deputy General Manager’s brief.
\r\n
Ad Hoc Projects: Manage and ensure the timely completion of special ad hoc projects assigned by the Deputy General Manager.
\r\n
Strategic Planning Support: Assist in the development of strategic plans with the Senior Management Team, advancing the company’s mission to promote growth, profitability, and revenue.
\r\n
Filing System Maintenance: Maintain and update the office filing system and database, ensuring important documents are stored both in hardcopy and softcopy.
\r\n
Gatekeeper Duties: Act as the office gatekeeper, directing calls and visitors to the correct personnel in a professional manner, ensuring a positive first impression of the company.

Qualifications, Skills, and Attributes
\r\n
\r\n
Education: A degree in Business Administration, Management, or a related field is preferred.
\r\n
Experience: A minimum of 1-3 years in a business support or executive assistant role, ideally within a similar industry.
\r\n
Language Skills: Excellent command of English is required. Fluency in Maltese is an asset.
\r\n
Communication Skills: Strong written and verbal communication skills, with the ability to communicate effectively at all levels.
\r\n
Interpersonal Skills: Ability to build positive working relationships with colleagues at all levels of the organisation.
\r\n
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and strong familiarity with office management software and systems.
\r\n
Organisation: Exceptional organisational and time management skills to handle multiple tasks and priorities.
\r\n
Self-Motivated: Proactive, self-driven, and able to work independently while maintaining attention to detail.
