Location: St Julians Malta (Tigullio Malta) (Complete Takeover) (Seasonal Position)

Duration: May (Pre-Opening) – September (End of Summer)

We are excited to announce that we are taking over a brand-new venue in Malta for the upcoming summer season and are looking for an experienced and proactive Event Coordinator / Venue Manager to help us organize, manage, and execute a vibrant nightclub experience. This is a dynamic role requiring excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced, high-energy environment.

Key Responsibilities:

Pre-Opening Phase (Starting in May)

Venue Set-Up & Organization:

Oversee the entire venue setup process from scratch, ensuring everything is in place before the opening.

Coordinate and manage venue decoration to create an exciting and immersive atmosphere that aligns with the brand and target audience.

Staff Recruitment & Training:

Lead the recruitment process for all front-of-house, back-of-house, and event staff.

Organize staff training sessions, ensuring they are knowledgeable about venue operations, health and safety regulations, customer service standards, and event procedures.

Suppliers & Inventory Management:

Source, coordinate, and manage suppliers for alcohol, drinks, merchandise, and other necessary supplies.

Oversee the delivery of sound equipment, ensuring it is installed and operational before the venue opens.

Work closely with suppliers to ensure timely and adequate stock for the summer season.

Maintenance & Operations:

Coordinate any venue maintenance required prior to opening, including ensuring the venue meets all legal, health, and safety standards.

Oversee any necessary repairs, cleaning, and set-up work to ensure the venue is fully operational for opening.

Promotions & Marketing:

Collaborate with the marketing team to create posters, flyers, and merchandise for events and promotional activities.

Assist in organizing pre-launch promotional events, social media campaigns, and online outreach.

Post-Opening Phase (June - September):

Event Coordination:

Coordinate and oversee all events, ensuring smooth operations from start to finish.

Work closely with DJs, performers, and event staff to ensure they have everything they need to deliver exceptional experiences.

Manage the day-to-day operations during events, ensuring the venue is running smoothly and guests are having an excellent experience.

Staff Management:

Supervise and manage the event and venue staff throughout the season, ensuring they are motivated, effective, and providing excellent customer service.

Address any staffing issues and manage shift schedules to ensure adequate coverage during busy periods.

Vendor & Supplier Coordination:

Ensure that the venue is stocked with necessary supplies, including alcohol, food, merchandise, and any additional equipment needed for events.

Coordinate the arrival and setup of any additional event-specific equipment.

Customer Experience & Problem Resolution:

Ensure a high level of customer satisfaction by addressing guest concerns promptly and professionally.

Troubleshoot any operational challenges, such as technical issues or supply shortages, and resolve them efficiently.

Event & Venue Evaluation:

Monitor and evaluate the success of events, providing feedback and suggestions for improvements.

Ensure all event logistics run on time and within budget.
