About This Job

ICI Group is seeking an experienced, highly organised and commercially aware Group Accounts & Administration Executive to support the financial and administrative operations of a diverse group of companies operating across construction, property, hospitality, architecture, installations and related sectors. This is a hands-on role suited to an individual who is confident managing multiple companies and priorities simultaneously and who can work independently, exercise sound judgement and take ownership of matters from initial review through to completion.

Key Responsibilities

The successful candidate will be responsible for a broad range of accounting, financial administration and executive support duties, including:

  • Monitoring multiple company bank accounts, balances and cash-flow requirements;
  • Coordinating and processing supplier payments, intercompany transfers and other financial transactions;
  • Managing accounts payable and accounts receivable activities;
  • Performing bank, supplier, client and intercompany reconciliations;
  • Posting transactions and maintaining accurate accounting records in Xero;
  • Issuing invoices, receipts, remittances and client statements;
  • Following up on outstanding client balances and supplier account discrepancies;
  • Supporting VAT, FS5 and other statutory payment requirements;
  • Coordinating payroll information and salary payments across different companies;
  • Liaising with banks, clients, suppliers, accountants, employees and government entities;
  • Supporting property administration, including lease documentation, tenant correspondence and payment monitoring where required;
  • Assisting with financial and operational reporting for management;
  • Reviewing correspondence addressed to the Director, identifying matters requiring attention and ensuring appropriate follow-up;
  • Preparing management meeting agendas, taking minutes and monitoring agreed actions;
  • Coordinating meetings, appointments and management follow-ups;
  • Maintaining accurate records and ensuring documentation is properly organised and filed; and
  • Providing general financial and administrative support across the Group as required.

The Ideal Candidate

The successful candidate should:

  • Have solid previous experience in accounts, finance administration or a similar multi-functional role;
  • Be experienced in bank reconciliations, supplier and client accounts, invoicing and payment processing;
  • Be comfortable managing several companies, bank accounts and competing priorities;
  • Have good working knowledge of Xero and Microsoft Excel;
  • Be fluent in both Maltese and English, written and spoken. Fluency in both languages is an essential requirement for this position;
  • Have strong numerical, organisational and analytical skills;
  • Be highly accurate and attentive to detail;
  • Be capable of working independently and following matters through without constant supervision;
  • Demonstrate discretion when handling confidential financial and management information;
  • Have strong written and verbal communication skills;
  • Be confident dealing professionally with directors, banks, suppliers, clients and external authorities; and
  • Be proactive, dependable and capable of working effectively in a fast-paced environment.

Experience within a group of companies, construction, property, hospitality or related sectors will be considered an asset.

This position requires more than processing transactions. We are looking for someone who understands the importance of cash flow, deadlines, accurate financial information and effective follow-up, and who can provide management with reliable information while ensuring that day-to-day financial and administrative matters continue to move forward efficiently.

The successful candidate will form an important part of the Group's administrative and financial operations and will work closely with senior management and the accounts team.
