Job Summary
The HR & Payroll Clerk will be responsible for managing the accurate and timely processing of the monthly payroll cycle, from the verification of attendance and employee information through to payroll reconciliation and finalisation.
The role will also assist with HR administration, employee records, recruitment, onboarding, and work permit-related processes.
The successful candidate will be organised, detail-oriented, reliable, and discreet, with strong numerical and administrative skills and the ability to handle confidential employee and payroll information. The ability to work independently, take ownership of responsibilities, and meet strict deadlines is essential.
Key Responsibilities
- Manage the full monthly payroll cycle, ensuring accurate and timely processing.
- Verify attendance, working hours, overtime, leave, sick leave, and public holiday payments.
- Review and resolve missing or incorrect clock-ins/clock-outs.
- Process new joiners, salary changes, transfers, promotions, terminations, and other payroll adjustments.
- Calculate and process allowances, deductions, and other payroll adjustments.
- Reconcile payroll and investigate and resolve discrepancies before finalisation.
- Maintain accurate employee salary, tax, payroll, and employment records.
- Monitor employee leave and maintain accurate leave balances.
- Handle payroll-related employee queries and follow up with Managers on payroll matters.
- Prepare payroll, HR, and employee-related reports as required.
- Assist with payroll-related statutory requirements and documentation.
- Assist with Identità work permit applications, documentation, and biometric-related requirements.
- Assist with Jobsplus-related employee administration and records.
- Assist with recruitment, onboarding, employment documentation, and other HR-related administration.
- Maintain confidentiality and ensure HR and payroll procedures, policies, and deadlines are followed.
Requirements
· Previous experience in payroll processing or HR administration in Malta is required.
· Hands-on experience using Talexio for payroll and time & attendance is considered an advantage.
· Previous experience independently handling monthly payroll is required.
· Previous experience in the hospitality industry is considered an advantage.
· Good knowledge of Microsoft Office, particularly Excel and Word.
· Strong numerical skills with excellent attention to detail and accuracy.
· Good organisational and time-management skills, with the ability to meet deadlines.
· Ability to work independently and handle confidential information with discretion.
· Good communication and interpersonal skills.
