About This Job

We have a new vacancy for an Office Administrator to work at The Eden. In this position, you will be the backbone of our operations, providing essential administrative support the whole department as well as sales and events coordination, marketing and customer service. Your role will be pivotal in ensuring smooth communication, efficient workflow, and impeccable customer service across all channels.

Responsibilities:

  • Assist The Eden management team with administrative tasks to ensure efficient communications and operations.
  • Manage incoming phone calls, emails and messages across various platforms, addressing customer inquiries and concerns promptly and professionally.
  • Assist with customer complaints or issues.
  • Process customer orders for gift vouchers and ensure timely delivery.
  • Update and maintain the company website with relevant information, promotions and event details.
  • Handle general office duties such as filing, organizing documents, raising POs or Invoice Requests and maintaining office supplies inventory.
  • Input data into company systems, update databases and ensure information accuracy.
  • Assist with HR-related tasks, including maintaining employee records and facilitating new employee onboarding processes.
  • Responsible for inputting staff schedules as per roster, ensuring accurate and timely recording of shifts. Checking staff time punches against the roster, identifying discrepancies, and making necessary adjustments.
  • Assist in distributing internal communications, handbooks, and standard operating procedures (SOPs) to ensure clarity and compliance among staff members.
  • Assist the Sales and Events coordinator in booking activities, organizing group events, and ensuring seamless coordination.
  • Collaborate with the marketing team to execute promotional campaigns, events, and initiatives, including social media updates, newsletters and customer outreach.
  • Compile data and generate reports as required by management.
  • Handle various ad hoc tasks or projects assigned by management or other departments to support overall establishment operations.

Skills and Experience:

  • Proficient in office software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent written and verbal communication skills.
  • Proven experience in handling customer inquiries and providing professional customer service.
  • Ability to manage staff schedules and attendance records accurately.
  • Working knowledge of Shireburn Indigo would be considered at asset.
  • Willingness to assist in various projects and initiatives to support overall organizational goals.
