We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will possess strong leadership skills, the ability to multitask in a fast-paced environment, and excellent communication abilities.

Key Responsibilities:

  • Serve as the first point of contact by greeting visitors, answering phone calls, and responding to inquiries professionally and courteously.
  • Handle incoming and outgoing mail, packages, and deliveries, sorting and distributing correspondence efficiently.
  • Facilitate internal communication by coordinating the flow of information, distributing emails, and keeping employees informed of office updates.
  • Maintain and update contact lists, directories, and organizational charts.
  • Maintain office calendars, schedule appointments, and coordinate meetings, conferences, and travel arrangements for staff.
  • Coordinate travel visit agendas for visitors, including scheduling meetings, coordinating logistics, and ensuring a seamless experience.
  • Coordinate office events, including staff meetings, training sessions, and social gatherings, assisting with logistics, catering, and setup.
  • Manage office supplies, equipment, and inventory levels, ensuring timely replenishment as needed.
  • Maintain accurate records, filing systems, and databases, ensuring organized and easily accessible information.
  • Manage the cash box and keep accurate records of office expenses.
  • Assist with IT-related tasks, including workstation setup, troubleshooting basic technical issues, and coordinating with IT support providers.
  • Oversee office cleanliness, organization, and appearance, by coordinating with cleaning staff as needed.
  • Manage office maintenance by coordinating with service providers, overseeing maintenance agreements, and reporting necessary repairs.
  • Support HR functions such as new hire onboarding, work permits, employee orientation, and maintaining employee records.
  • Handle confidential and sensitive information with discretion, adhering to privacy regulations and company policies.
  • Support internal departments with administrative duties when necessary.
  • Contribute to a positive office culture by participating in the company’s social committee.
  • Perform additional duties as required by the company.

Qualifications/Requirements:

  • Proven 2 years experience in an office administration role.
  • Minimum A Level standard of education.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
