About This Job

We are presently looking to recruit an Operations & Logistics Executive to join our growing team. The Operations & Logistics Executive reports to the Director, and is responsible to plan and, coordinate the processes for acquisition and logistical importation / export of goods, accepting orders and organizing deliveries of goods. The main responsibilities would include the following:

Accepting and preparing Client Orders:

· Receiving and acknowledging orders from clients

· Issuing Sales orders and invoices and preparing deliveries for delivery team

· Organizing deliveries with deliveries team and with hauliers.

· Carrying out deliveries with company van

· Ensuring goods are delivered in a timely manner and clients are satisfied.

Preparing Supplier Orders and Importing Goods

· Obtaining quotes for shipping for import and export of goods

· Organizing import and export of goods

· Ordering spare parts

· Communicating Order schedules from suppliers to clients

Warehousing and Stock Control

· Reviewing stock levels, and determining re-ordering amounts and frequency

· Carrying out stock takes and reconciling discrepancies

· Organizing offices and warehouses, keeping them in good order

· Reviewing pricelists from suppliers and communicating changes to customers

· Maintaining internal pricelists and website prices up to date

· Keeping office stationery supplies stocked up and in order.

Administration

· Reviewing bills received and filing away for posting to accounts

· Ensuring bill and invoice details and contents are correct

· Communicating Field action notices

· Checking that goods received match description and quantity, and resolving discrepancies.

· Assistance with day-to-day administration and reporting.

The idea candidate should meet or exceed the following requirements:

• Preferably have 1 – 2 years experience in similar roles.

• Be highly organized and methodical

• Have good interpersonal skills to communicate with healthcare professionals and clients.

• Have good command of the English and Maltese language, and have the ability to prepare reports and presentations.

• Be patient and self motivated.

• Be confident and persistent.

• Be computer literate, with working knowledge of Microsoft Office (Word, Excel and Powerpoint).

• Possess a clean & valid driving license.
