DZ Advisory is seeking a proactive and highly organized Personal Assistant / Business Support Executive to join our dynamic and professional team. 

Specializing in Corporate and Relocation Services, we are backed by years of expertise, cutting-edge technology, and best practices to serve our international clientele and business partners.

The successful candidate will report directly to the Partner and support our work with High Net Worth clients, offering services including (but not limited to) residency, citizenship, investments, tax residency, and global relocation.

Duties and Responsibilities:

  • Administrative Support
    Manage the Partner’s schedule by coordinating meetings, appointments, and travel arrangements.
    Prepare, proofread, and review documents, reports, and presentations with accuracy and attention to detail.
    Organize and maintain confidential electronic and paper filing systems for critical business records.
  • Meeting Representation and Follow-Up
    Attend meetings alongside the Partner, taking detailed minutes, identifying actionable items, and ensuring timely follow-ups.
    Represent the Partner in discussions with clients and leads, ensuring alignment with objectives.
    Maintain continuity in project discussions, keeping stakeholders engaged and deliverables on track.
  • Client Engagement
    Act as the primary point of contact for clients, addressing inquiries, providing updates, and ensuring seamless communication.
    Build and maintain strong professional relationships with clients and internal team members.
    Support negotiations by preparing briefs, conducting follow-ups, and escalating key insights to the Partner.
  • Project Management
    Oversee assigned aspects of projects or deals to ensure timely and successful delivery.
    Proactively identify challenges and risks, suggesting solutions to ensure smooth operations.
    Serve as a liaison between all parties involved, providing regular progress updates to the Partner.

Experience, Knowledge and Skills:

  • Experience: 1–2 years in a Personal Assistant, Executive Assistant, or similar role.
  • Confidentiality: Proven experience managing sensitive information with discretion.
  • Organization: Exceptional multitasking and organizational skills.
  • Communication: Strong written and verbal communication skills. Proficiency in the Maltese language is a must.
  • Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    Interpersonal Skills: Professional demeanor, excellent negotiation and client engagement abilities.
  • Problem-Solving: Analytical mindset with proactive problem-solving skills.
  • Adaptability: Ability to thrive in a fast-paced and dynamic environment.

Education:

  • A Bachelor's degree is required.

Working Hours:

  • Full- Time; 40 hours per week, Monday to Friday from 09:00–18:00.
    Flexibility with start times is available.
