ROLE PURPOSE AND SUMMARY
The Production Coordinator is expected to:
• provide support in the administration of the plan and manage documentation and data required on the shopfloor.
• manage the compilation of job history documents.
• prepare the letterpress numbering settings for the upcoming jobs including the preparation of prefixes and other materials required for upcoming jobs.
• prepare the necessary specifications related to Finished product packaging requirements - boxes, pallets, labels and other job specific packing materials as required on the BNOF to guide the MP&L team on the materials to purchase for the upcoming jobs.
KEY ACCOUNTABILITIES
• Packing forecast, daily production data management
• Collect information related to daily production data and compare against the production plan, reporting any variances to the Planner, Operations Manager, MP&L Manager and Production Manager.
• Maintain performance related reports as required.
• Analyse, prepare and distribute documents needed for production.
• Follow-up as required with all teams to expedite flow of materials and documents to meet production schedule and customer expectation.
• Review BNOF and Job history to determine the packaging material required for the jobs – boxes, pallets, labels and other job specific requirements. Liaise with Procurement on product specifications / quantities needed for the upcoming jobs.
• Job Planning – Organise meeting, participate in meeting and coordinate closure of points raised prior to job startup / as needed during the production run.
• Prepare letterpress numbering settings / prefixes ordering in line with production job requirements and DLR Guidelines. Support production as needed for the end of job numbering schemes.
• Maintain production related reports as required. Ex. Keren cases in stock, end of month reports related to finished goods inventory on site.
• Update job estimates with information related to prefixes and other costs related to the area of responsibility.
• Ensure that the information for the execution of the production program is available to all stakeholders when required – this relates to BNOF/PPOF (for passport jobs) and amendments to all internal stakeholders as received from central. Also coordinates all BNOF queries and amendment requests for all the site.
• Maintain electronic/manual filing systems related to BNOFs/Job History.
• Data analysis to support direct Manager, Planner and Procurement for the supply of raw materials, prefixes, packaging and any other materials required for the job.
• Support Materials Management team to plan and manage finished goods internal movements prior to shipment – to check shipment call offs against records of cases in stock. Also checks that shipment has left and records are updated accordingly and reported to central.
• Provides progress of assigned projects to department manager
• Complete any other tasks as required by the direct manager.
• Assist in the preparation of the Technical Data Manual related to the area of responsibility.
CAPABILITY (qualifications, experience and skills)
Essential
• Experience in data driven decision making.
• Ability to organise large amounts of information into a coherent and meaningful format while working on multiple prospects simultaneously.
• Demonstrate strong interpersonal, communication and presentation skills.
• Proficiency in Microsoft Excel.
• Independent worker who is able to work well with minimal supervision
• Fast learner with ability to work well under pressure.
Desirable
• O’level standard particularly in English and Mathematics.
• Manufacturing experience desirable but not essential.
• Proficiency in other Microsoft Office products an asset.
