&lt;p&gt;As a Receptionist, you will be the initial point of contact for all visitors to the Head Office. Your primary role will involve creating a welcoming and professional environment for clients, visitors, and employees. This position requires effective communication and coordination to ensure smooth daily operations within the office.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;Key Responsibilities&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;&lt;em&gt;Visitor greeting:&lt;/em&gt; Warmly welcome and greet all visitors. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Call management:&lt;/em&gt; Answer and redirect incoming calls to appropriate personnel or departments. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Visitor notification:&lt;/em&gt; Inform relevant employees about visitor arrivals and ensure they receive necessary assistance. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Inquiry handling:&lt;/em&gt; Serve as a contact point for inquiries from clients, vendors, and employees, providing accurate information. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Courier coordination:&lt;/em&gt; Manage courier services and handle incoming and outgoing mail and packages. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Customer service:&lt;/em&gt; Address inquiries and requests promptly and professionally, ensuring exceptional customer service. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Internal communication:&lt;/em&gt; Communicate effectively with internal teams to relay messages and facilitate workflow. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Reception maintenance:&lt;/em&gt; Keep the reception area tidy and organised. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Administrative support:&lt;/em&gt; Assist with administrative tasks such as data entry, filing, sorting mail, scheduling appointments, and managing office supplies. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Building access:&lt;/em&gt; Monitor access to the building, sign in visitors, and ensure protocols are followed. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Departmental support:&lt;/em&gt; Provide administrative support to other departments as needed.&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;Qualifications, Skills and Attributes&lt;/strong&gt;&lt;/p&gt;
&lt;p&gt;&lt;em&gt;Relevant experience:&lt;/em&gt; Prior experience in a receptionist or customer service role is preferred. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;MS Office skills:&lt;/em&gt; Basic proficiency in MS Office (Word, Excel, Outlook). &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Interpersonal skills:&lt;/em&gt; Excellent interpersonal skills and a friendly, professional manner. &lt;/p&gt;
&lt;p&gt;&lt;em&gt;Multitasking ability:&lt;/em&gt; Ability to handle multiple tasks simultaneously and prioritise effectively. &lt;/p&gt;
&lt;p&gt;&lt;i&gt;IMPORTANT:&amp;nbsp;&lt;/i&gt;Good verbal and written communication skills in &lt;strong&gt;English and Maltese&lt;/strong&gt;.&lt;/p&gt;
