The Esports Network Limited (company registration number C102035), trading as Jobhound, is the data controller for personal data processed through the Jobhound online job board at jobhound.mt ("the Platform"). References to "we", "us", and "our" in this Privacy Policy are to The Esports Network Limited.
This Privacy Policy explains what personal data we collect about you when you use the Platform, why we collect it, how we use and protect it, who we share it with, how long we keep it, and what rights you have over it.
This Policy applies to all users of the Platform, including Job Seekers, Employers, and visitors who browse without registering. It should be read alongside our Terms of Use.
1. Key Terms
Terms used in this Policy have the same meaning as in our Terms of Use. In particular: "Job Seeker" refers to a user who searches for and applies for job opportunities; "Employer" refers to any user whose Account is associated with a Company Profile; "Candidate Profile" is the optional discoverable profile a Job Seeker may create; "Application Data" is all information submitted as part of a Job Application; "Job Vacancy" (also referred to on the Platform as a "Job Post") is a job listing published by an Employer; "ATS" is our Applicant Tracking System; and "AI Features" are the Platform functions described in Section 4 of this Policy.
2. Personal Data We Collect
2.1 Account Registration Data (all users)
When you create an Account, we collect:
- First and last name
- Email address
- Password (stored as a hashed value — we never store your plain-text password)
- Date of birth (can be provided voluntarily in Account settings, or collected at your first Job Application if not previously provided; minimum selectable age 16)
- Gender (optional)
- Current location — country (the country where you are currently based, as distinct from your country of permanent residence; used for location-based job matching and to help Employers understand candidate availability and relocation context)
- Country of residence (your country of permanent residence)
- Profile photo / avatar (optional)
If you register via a third-party OAuth provider (Google, LinkedIn, or Facebook), we receive the profile information you have authorised that provider to share, which typically includes your name, email address, and profile photo. We do not receive your password from these providers.
2.2 Candidate Profile Data (Job Seekers — optional)
If you choose to create a Candidate Profile to make yourself discoverable to Employers, you may additionally provide:
- CV or résumé (uploaded file — PDF or DOCX)
- Languages spoken
- Desired job title and salary expectations
- Preferred job categories and industries
- Preferred employment type (full-time, part-time, remote, etc.)
- Portfolio links or work sample URLs
- Personal bio / statement
Creating a Candidate Profile is entirely optional. When you disable your Candidate Profile, it is hidden from all Employers but the data remains securely stored in your Account. You can re-enable it at any time. The data is only permanently deleted when you delete your Account entirely (see Section 7).
Note on special category data. We do not collect, request, or require "special category" data within the meaning of GDPR Article 9 (such as information about health, disability, ethnicity, religion, or trade union membership), and none of our forms ask for it. Please do not include such information in your CV or application materials. Our evaluation and matching criteria do not include any such information. If you nevertheless choose to include special category data in the materials you submit, you do so voluntarily and explicitly consent to its processing as an inseparable part of those materials, solely for the purposes of storing and transmitting your application. Employers who receive such information are independently responsible for handling it lawfully under Article 9 GDPR.
2.3 Job Application Data
When you submit a Job Application, we collect and process:
- Your Account data as displayed on the Platform (name, date of birth, gender, profile photo, current location, country of residence)
- Your uploaded CV or résumé
- Cover letter (if provided)
- Email address and telephone number (where collected via screening questions)
- Salary expectations (where a screening question)
- Responses to the Employer's custom screening questions
- Any files uploaded in response to Employer document requests (e.g. certifications)
For Apply via Email vacancies, this data is also forwarded to the email address(es) designated by the Employer.
Application Data is also analysed by our AI-Assisted Application Review functionality, as described in Section 4.
Application data retention: You control how long your Application Data is stored on the Platform. In your Account settings ("Manage Your Data") you may select a retention period of 60, 90, 180, or 365 days, or choose to retain data with no automatic expiry. Once the selected period elapses, your Application Data for that application is automatically anonymised in the same manner as on Account deletion, and the application status changes to "expired". You may change this setting at any time. This setting applies to your individual Job Applications (including the copy accessible to the Employer in the ATS). It does not affect your Account data or your Candidate Profile, which are governed by their own settings and the retention rules in Section 7.
2.4 Employer and Company Profile Data
Users who create or manage a Company Profile provide:
- Company name, logo, and profile banner
- Website URL
- Company description and FAQ content
- Industry category and company size
- Headquarters and office locations
- Year founded
- Social media links
- Internal contact telephone number (not publicly displayed)
- Photo and video gallery assets
For Employers using subscription plans purchased through our sales team, we also collect billing details (name, company name, address, payment reference). Card payment data is handled entirely by Stripe and is not stored by us.
2.5 Job Vacancy Data
When an Employer creates a Job Vacancy (Job Post), we collect the content of that posting, including the job title, description, screening questions, and any attached documents. This content is publicly visible on the Platform and may be distributed externally as described in Section 5.
2.6 Communications Data
We retain records of:
- Messages exchanged between Job Seekers and Employers via the Platform's built-in chat;
- Email communications sent by us to users (transactional and, for Employers, marketing); and
- Support requests submitted to [email protected].
2.7 Automatically Collected Technical Data
When you use the Platform, we and our third-party analytics providers automatically collect:
- IP address and approximate location derived from it
- Device type, operating system, and browser
- Pages visited, time spent, click paths, and interaction data
- Session recordings and heatmaps (Microsoft Clarity — where you have consented to analytics cookies)
- Referral source / UTM parameters
3. How We Use Your Data and Our Legal Bases
Under GDPR Article 6, we must have a lawful basis for each processing activity. The table below sets out our main processing purposes, the data used, the legal basis, and how long we keep it.

4. Automated Processing and AI Features
This section explains, in plain language, where the Platform uses artificial intelligence, what it does with your data, and — most importantly — what it does not do.
4.1 AI-Assisted Application Review (applications you submit to Employers)
What it does. When you submit a Job Application, the Platform automatically analyses your Application Data — your CV, cover letter, and screening question answers — against the requirements stated in the Job Vacancy (such as qualifications, skills, experience, and languages). The system produces an indicative "fit" assessment and places new applications into starting folders in the Employer's applicant tracking view, reflecting indicative match strength.
The logic, in plain words. The system compares what your application contains with what the vacancy asks for, and summarises how closely they match. It is a starting-point organisation aid for the recruiter — comparable to an assistant doing a first read-through and sorting the incoming pile.
Identifiers are removed first. Before your application materials are analysed by our AI service providers, we automatically remove personal identifiers — such as your name, contact details, date of birth, gender, address, and links — and replace them with neutral placeholders. The AI assessment is based on the professional content of your application, not on who you are.
What it does not do — significance and consequences. The AI assessment does not make any hiring decision. Folder placement may influence the order in which an employer reviews incoming applications, but it has no other automatic effect:
- No application is rejected, declined, or hidden by the AI. All applications, in all folders, remain fully visible to and individually reviewable by the Employer.
- The AI does not change your application status and does not send you (or anyone) any communication.
- Recruitment decisions are made by people at the Employer. Our Terms of Use contractually require Employers to ensure that any decision affecting an applicant — including declining an application — is made by a human reviewer, and prohibit rejecting any applicant solely on the basis of the AI output.
- Employers may switch off the display of AI assessments and/or the automatic initial sorting at any time.
No solely automated decisions (GDPR Article 22). The Platform is designed so that no decision producing legal or similarly significant effects concerning you is based solely on automated processing, and our Terms of Use require Employers to ensure human review of every such decision. If you nevertheless believe that an automated result has adversely affected how your application was handled, you have the right to request human intervention, to express your point of view, and to contest the result — contact the Employer for their hiring decision, and/or contact us at [email protected] for the Platform's processing. We will review any such request with a human, not an algorithm. You may also ask us for a plain-language explanation of how a specific assessment relating to you was produced, for as long as that assessment is still stored with your application (see the retention rules in Section 7).
4.2 AI Vacancy Recommendations and Smart Alerts (for Job Seekers)
The Platform may offer features that analyse your Candidate Profile, uploaded CV, application history, and stated preferences to recommend vacancies on the Platform where your profile appears to be a strong fit, shown as a personalised short-list, and — where you have opted in to job alerts — to personalise those alerts ("smart alerts"). Recommendations, where offered, are suggestions only: they do not affect how any Employer evaluates your applications, and they never limit which vacancies you can see or apply to. Where these features are offered, you can disable them in your Account settings.
4.3 AI Service Providers
To provide the AI Features, relevant data (such as the content of application materials with personal identifiers removed, and vacancy requirements) is processed via the APIs of our AI service providers: OpenAI (primary) and Anthropic (backup). Under the commercial API terms of both providers, data submitted via the API is not used to train their models. Processing takes place on the providers' servers under the safeguards described in Section 6. AI assessments are stored with the relevant application and are anonymised or deleted together with the Application Data. See the provider table in Section 5.2.
5. Sharing Your Personal Data
5.1 With Employers
5.1.1 When you submit a Job Application, your Application Data is shared with the Employer who posted the relevant Job Vacancy. The Employer is an independent data controller for that data and processes it under their own privacy policy. We are not responsible for how Employers handle Application Data once received.
5.1.2 If you have enabled your Candidate Profile for visibility, your Candidate Profile data is accessible to all registered Employers on the Platform for the duration of your selected visibility period.
5.1.3 We do not sell your personal data to Employers or any third party.
5.2 With Third-Party Service Providers
We use the following third-party service providers who process personal data as our data processors (under GDPR Article 28 agreements) or as independent data controllers:

5.3 Promotion of Job Vacancies
5.3.1 Job Vacancy details (job title, description, Employer name, location, and other posting information) may be promoted by us on external platforms including social media channels, job aggregators, and partner sites. This is part of our standard service to Employers and does not involve sharing personal data about individual users.
5.4 Legal Disclosures
5.4.1 We may disclose personal data to law enforcement agencies, courts, regulators, or other competent authorities where required or permitted by applicable law, or where we reasonably believe disclosure is necessary to protect the safety of any person, prevent or detect illegal activity, or comply with a legal obligation.
6. International Data Transfers
6.1 Our Platform and primary infrastructure are hosted within the EEA, and the personal data we store directly remains within the EEA.
6.2 Certain third-party service providers process data outside the EEA in the course of providing their services (see Section 5.2) — in particular, our AI service providers (OpenAI and Anthropic) process data submitted to their APIs in the United States. Where personal data is transferred outside the EEA, we ensure appropriate safeguards are in place as required by GDPR Chapter V, specifically:
- certification under the EU–US Data Privacy Framework (both OpenAI and Anthropic are certified);
- Standard Contractual Clauses (SCCs) approved by the European Commission; and/or
- reliance on adequacy decisions where applicable.
6.3 You may request further information about the safeguards in place for any specific transfer by contacting [email protected].
7. Data Retention
7.1 We retain personal data only for as long as necessary for the purposes for which it was collected, or as required by law.

7.2 We do not retain personal data beyond the above periods unless required by law (for example, by court order, tax authority requirement, or regulatory obligation) or in connection with legal proceedings.
7.3 When data is deleted, it is either permanently removed from our systems or rendered non-identifiable through anonymisation. Anonymised data is not personal data and is not subject to GDPR.
8. Your Rights Under GDPR
As a data subject under the GDPR, you have the following rights. We will respond to all valid requests within one month, extendable by up to two further months for complex requests (we will tell you if we need an extension).

8.1 To exercise any of the above rights, contact us at [email protected]. We may ask for identity verification before processing certain requests. We will not charge a fee unless requests are manifestly unfounded or excessive.
9. Cookies and Tracking Technologies
9.1 We use cookies and similar tracking technologies on the Platform. A cookie is a small text file stored on your device by your browser. We use the following categories:

9.2 On your first visit to the Platform, we display a cookie consent banner that allows you to: accept all cookies; accept only strictly necessary cookies; or manage your preferences by category. You may change your cookie preferences at any time through the cookie settings on the Platform.
9.3 For questions about the specific cookies we use, their duration, or the parties who set them, please contact [email protected].
10. Security
10.1 We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction, or disclosure. These include: encrypted data transmission (HTTPS/TLS); hashed password storage; access controls and authentication; regular security reviews; and data hosted on infrastructure with industry-standard security certifications.
10.2 No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.
10.3 In the event of a personal data breach likely to result in a risk to your rights and freedoms, we will notify the IDPC within 72 hours of becoming aware of the breach (GDPR Article 33). Where the breach poses a high risk to your rights and freedoms, we will also notify affected individuals without undue delay (Article 34).
11. Children's Privacy
11.1 The Platform is not intended for use by persons under 16. We do not knowingly collect personal data from anyone under 16. Age is self-declared, with a minimum selectable date of birth corresponding to age 16.
11.2 If we become aware we have inadvertently collected data from a person under 16, we will delete that data promptly. If you believe we have done so, please contact [email protected].
12. Third-Party Links and Employer Websites
