&lt;p&gt;Muscats Motors Ltd specialises in Automotive and has an exciting opportunity for an enthusiastic Warranty Administrator to join our dynamic team. This position is suited to individuals that are looking to advance their career in automotive.&lt;/p&gt;
&lt;p&gt;The Warranty Administrator performs a wide range of administrative and office support duties associated with vehicle warranties.&lt;/p&gt;
&lt;p&gt;&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;Main Tasks and Responsibilities&lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;Process warranty paperwork and ensure documentation is up to date as required by the manufacturer.&lt;/li&gt;
&lt;li&gt;Insert correct warranty data in manufacturer systems, making sure every hour and material cost is claimed and recovered.&lt;/li&gt;
&lt;li&gt;Ensure that all warranty exchanged parts are adequately stored in line with manufacturer’s policy.&lt;/li&gt;
&lt;li&gt;Review warranty claims, correct any errors, and liaise with manufacturer when in doubt.&lt;/li&gt;
&lt;li&gt;Give advice to the workshop on cases of recall and warranty as required and as stipulated by the manufacturer.&lt;/li&gt;
&lt;li&gt;Ensure correct renditions of warranty claims with franchise and applicable reporting on defective parts.&lt;/li&gt;
&lt;li&gt;Maintain good working relationships with the aftersales and parts departments.&lt;/li&gt;
&lt;li&gt;Ensure that customer satisfaction is prioritised with regards to recall campaigns and that these are performed within stipulated time frames.&lt;/li&gt;
&lt;li&gt;To be present and provide documentation to auditors during manufacturer audits.&lt;/li&gt;
&lt;li&gt;Keep abreast with all warranty updates, factory recalls and any other manufacturer announcements.&lt;/li&gt;
&lt;li&gt;Reconcile all warranty receivables and work with accounts to obtain payments.&lt;/li&gt;
&lt;li&gt;Liaise with the Assistant Manager to ensure the technical implementation of recall campaigns.&lt;/li&gt;
&lt;li&gt;Handle rejected claims according to dealership and/or manufacturer specifications and follow up on outstanding claims.&lt;/li&gt;
&lt;li&gt;Ensure adequate liaison with the body/paint shop where this is involved in warranty work and recall campaigns.&lt;/li&gt;
&lt;li&gt;Maintain all service and customer records as required by the warrantor.&lt;/li&gt;
&lt;li&gt;Attend any required training, (locally and abroad) organised by the company.&lt;/li&gt;
&lt;li&gt;Carry out any additional duties assigned by the Warranty Assistant Manager and Aftersales Manager.&lt;/li&gt;
&lt;li&gt;Adhere strictly to health and safety regulations and company policies together with franchise standard requirements.&lt;/li&gt;

Warranty Administrator

&lt;h1&gt;&lt;/h1&gt;
&lt;p&gt;The &lt;strong&gt;Service Advisor&lt;/strong&gt; will be responsible to ensure an enhanced level of customer satisfaction and customer loyalty. The Service Advisor is the &#039;face&#039; of the copmany and the vital link of ensuring that customer&#039;s requirements are valued and executed at the highest standards. Main tasks and responsibilities&lt;/p&gt;
&lt;p&gt;&lt;strong&gt;Main tasks and responsibilities &lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;To set up and schedule appointments to ensure that the workshop’s availability is maximised&lt;/li&gt;
&lt;li&gt;Answer and attend to customers’ queries that may arise in a prompt manner and update CRM information details accordingly&lt;/li&gt;
&lt;li&gt;Create job cards and attach the relevant documents correctly, such as: VHC, vehicle information and recalls&lt;/li&gt;
&lt;li&gt;Create purchase orders and input to WIP for any local repairs and provide petty cash for the VRT and other authorised purchases via the team leaders&lt;/li&gt;
&lt;li&gt;Upon identifying recalls the service advisor must immediately inform all clients affected, take immediate action, and process all information / job cards&lt;/li&gt;
&lt;li&gt;To notify clients if technical campaigns are found, update and maintain records of such findings and attach to job cards if necessary&lt;/li&gt;
&lt;li&gt;To allocate and monitor ‘client waiting’ appointments correctly&lt;/li&gt;
&lt;li&gt;To communicate with and keep in touch with team leaders regarding the status of works, queries, etc&lt;/li&gt;
&lt;li&gt;To contact customers to approve additional repairs that are needed by preparing a full estimate including labour and parts costs; upon approval, update team leaders accordingly.&lt;/li&gt;
&lt;li&gt;To confirm with clients any additional / future repairs / ordering of parts&lt;/li&gt;
&lt;li&gt;Identify repeat repair concerns and process job cards to the team leaders for immediate action&lt;/li&gt;
&lt;li&gt;To prepare weekly job cards for filing and warranty job cards for processing&lt;/li&gt;
&lt;li&gt;To contact customers for vehicle collection&lt;/li&gt;
&lt;li&gt;Register service packs for new vehicles and upgrade existing service packs&lt;/li&gt;
&lt;li&gt;To process cash deposits when necessary&lt;/li&gt;
&lt;li&gt;To prepare detailed cash and warranty invoices for vehicle collection outlining all services rendered&lt;/li&gt;
&lt;li&gt;To handle invoicing of credit accounts and internal job cards including PDI.&lt;/li&gt;
&lt;li&gt;Ensures that quality standards are being adhered to&lt;/li&gt;
&lt;li&gt;Adheres strictly to Health and safety regulations and company policies together with Franchise standard requirements.&lt;/li&gt;

&lt;p&gt;&lt;strong&gt;Educational and skill requirements&lt;/strong&gt;&lt;/p&gt;

&lt;li&gt;Excellent communication both in Maltese and English&lt;/li&gt;
&lt;li&gt;O&#039; Level Standard of Education&lt;/li&gt;
&lt;li&gt;Basic understanding of basic motor components&lt;/li&gt;
&lt;li&gt;Previous experience in a similiar role will be considered an asset&lt;/li&gt;
