Role Overview
The Accounts Administrator will provide day-to-day assistance to the Finance Department, helping to keep financial information complete, accurate and up to date. This position is suited to a dependable and meticulous individual who is keen to strengthen their accounting knowledge while contributing to the efficient administration of the Company’s finance activities.
Key Responsibilities
- Financial Data Administration: Enter accounting information into the relevant systems and ensure that financial records remain accurate and current.
- Payment Support: Help prepare payment documentation and assist with processing transactions within the required deadlines.
- Payables and Receivables: Support routine creditor and debtor processes, including the correct recording and monitoring of transactions.
- Supplier Account Review: Compare supplier statements against internal records, identify discrepancies and assist in resolving pending matters.
- Document Management: Maintain a clear and orderly filing system for invoices, payment records and other finance-related documentation.
- Account Reconciliations: Assist in comparing bank and ledger balances, investigate differences and prepare the necessary supporting information.
- Period-End Assistance: Provide administrative and accounting support during monthly financial closing activities.
- Audit Documentation: Gather records and supporting evidence required for internal or external audit exercises.
- General Finance Support: Undertake additional duties connected with the finance function when reasonably requested by the Company.
Qualifications, Skills and Attributes
- Education: A minimum standard equivalent to O-Level education is required.
- Experience: Previous exposure to accounting, finance administration or general office work would be advantageous, although candidates seeking to develop their career in finance may also be considered.
- Accounting Knowledge: Familiarity with fundamental bookkeeping and accounting concepts would be beneficial.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Able to communicate clearly and professionally, both verbally and in writing.
- Interpersonal Skills: A cooperative team member who is willing to support colleagues while also being comfortable working independently.
- Technical Skills: Confident using Microsoft Office, particularly Excel, together with good knowledge of SAP or another comparable financial management system.
- Numerical Ability: Comfortable working with figures and capable of reviewing financial information with care and sound judgement.
- Organisation: Able to structure workloads effectively, manage competing priorities and complete assignments within the expected timeframes.
- Attention to Detail: Consistently thorough when handling financial data, with a strong focus on correctness and quality.
- Self-Motivated: Demonstrates a constructive attitude, takes responsibility for assigned work and is eager to expand their knowledge within a finance setting.
- Problem-Solving: Capable of recognising inconsistencies, examining the available information and helping to address routine accounting queries.
- Professional Conduct: Trustworthy, dependable and discreet, with the ability to protect confidential financial and business information.
- Integrity: Maintains high ethical standards and approaches all responsibilities with maturity and professionalism.
