Role Overview
The Accounts Receivable Executive will play an essential role within the hotel’s finance department, ensuring that all billing, payment processing, and debt recovery activities are accurate, timely, and aligned with the company’s internal financial controls. This position involves maintaining strong relationships with guests, partners, and suppliers while supporting the Financial Controller in month-end procedures and overall financial performance.
Key Responsibilities
- Accounts Processing: Process and post all incoming payments daily, ensuring that allocations to corresponding invoices are accurate and completed in a timely manner.
- Billing and Invoicing: Prepare and issue invoices with precision, supported by accurate documentation and adherence to the company’s credit policies.
- Reconciliations: Regularly reconcile the Accounts Receivable sub-ledger with the General Ledger, maintaining completeness and accuracy across all records.
- Credit Control: Monitor deposits, prepayments, and overdue accounts, applying and enforcing the company’s credit policy while maintaining professional communication with clients.
- Reporting and Month-End Support: Assist the Financial Controller during month-end procedures, including reconciliations, debtor ageing analysis, and preparation of financial reports.
- Audit and Compliance: Maintain proper records and filing of credit applications, debtor accounts, and other documentation in compliance with data protection and internal control policies.
- Continuous Improvement: Contribute to identifying and implementing process improvements in credit control, collection procedures, and overall financial efficiency.
Qualifications, Skills, and Attributes
- Education: Diploma or Degree in Accounting, Finance, or a related field. Progress toward ACCA, ACA, or equivalent certification will be considered an asset.
- Experience: Previous experience in hotel finance, particularly in accounts receivable, credit control, or general cashiering, is preferred.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Strong written and verbal communication abilities, with the confidence to liaise effectively with internal departments and external partners.
- Interpersonal Skills: Cooperative and professional approach, with a focus on collaboration and accuracy in a team-oriented environment.
- Technical Skills: Proficient in Microsoft Office, particularly Excel. Experience with hotel Property Management Systems such as Opera is advantageous.
- Organisation: Excellent attention to detail, accuracy, and ability to manage multiple priorities efficiently.
- Self-Motivated: Demonstrates initiative and responsibility in maintaining financial records and meeting deadlines.
- Problem-Solving: Analytical and proactive in resolving discrepancies and improving credit management processes.
