About the Role
As a Finance & Procurement Executive, you shall be responsible for a range of finance administration tasks, making sure all data is collected and recorded in a timely manner. This includes managing the purchasing software, procurement, and internal control.
What you'll be doing
- Maintain existing supplier relationships and actively seek to develop new relationships to support the organisation’s needs.
- Maintain good communication with all suppliers throughout the negotiation process and provide feedback when required.
- Perform cost and scenario analysis together with benchmarking exercises as necessary.
- Assist management in identifying cost saving and optimisation opportunities.
- Manage the administration of the purchasing software and oversee the smooth and correct use of the system.
- Check that all purchase orders and accounting transactions submitted are fair and ethical.
- Ensure all necessary documentation obtained is correct and maintained for every purchase.
- Maintain and record all quotes and communications undertaken leading to the supplier of choice for audit purposes.
- Prepare internal and external reports as may be required from time to time.
- Support the development and implementation of purchasing and contract management instructions, policies and procedures and ensuring all purchases are approved within mandated guidelines.
- Identify and report any misuse and mishandling of internal resources.
- Ensures that all data is recorded by the end of the month for the preparation of management accounts.
- Petty cash handling.
- Being a point of contact for other departments on financial and accounting matters, and respond to general Finance enquiries, verbal or written in a timely manner.
- Responsible for recording daily financial transactions, reconciling suppliers' accounts, processing invoices, and ensuring financial accuracy and compliance.
- Identify and resolve invoicing issues, accounting discrepancies, and other financial related issues.
- Supporting the Finance team with any projects and tasks as required, this includes assisting the finance department in yearly audits.
- Draft relevant policies and procedures and ensure they are kept up to date as might be required from time to time.
- Ensure strict adherence to Finance department policies and procedures, notifying relevant departments as needed.
- Ensure that any policy and process changes are communicated and implemented effectively.

Qualifications and Experience
- Undergraduate diploma in Accountancy & Finance or equivalent MQF Level 5 qualification.
- A minimum of one (1) year experience in a relevant field.
- Experienced in using accounting systems, MS applications.
- High proficiency in English language (C1 Level) is a requirement.
