DoubleTree by Hilton Malta is seeking a highly organised and detail-oriented Food & Drink Administrator to join our Double Tree by Hilton Malta team. As part of the Hilton family, we uphold the highest standards of service and excellence, providing our guests with unforgettable experiences.

The Food & Drink Administrator will be responsible for overseeing the administrative functions across the Food & Drink, Kitchen and Leisure departments. This includes amongst others all Payroll and Time & Attendant Tasks, Safety & Security compliance documentation, assistance on F&D allocations and Guests follows up and online portal reviews.

Key Responsibilities:

- Manage Time & Attendance-related processes for the Food & Drink, Kitchen and Leisure departments, ensuring accuracy and compliance with company policies.

- Handle payroll-related administrative duties in coordination with the Human Resources and Finance teams.

- Maintain and update Safety & Security compliance documentation in line with Hilton standards and local regulatory requirements.

- Assist with Food & Drink allocations, reservations, and departmental administrative coordination as required.

- Support guest follow-ups, ensuring requests, feedback, and service recovery actions are recorded and communicated effectively.

- Prepare reports, monitor departmental administration, and provide general administrative support to the Food & Drink management team.

- Liaise with internal departments to ensure the efficient flow of information and timely completion of administrative tasks.

Requirements:

- Proven administrative experience in a hospitality environment, preferably within Food & Drink or hotel operations.

- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, etc.).

- Familiarity with hotel management systems and timekeeping software.

- Previous experience with Shireburn Indigo will be considered a strong asset.

- Excellent organisational and time-management skills with exceptional attention to detail.

- Ability to work independently, prioritise multiple tasks, and perform efficiently in a fast-paced environment.

- Strong communication and interpersonal skills with the ability to work effectively across multiple departments.

- Willingness to work flexible hours, including weekends and public holidays, when operationally required.

- Excellent command of English, both written and spoken; knowledge of Maltese will be considered an asset.
