What You’ll Do

The HR Administration Officer is responsible for providing support in the various human resource functions, which include but are not limited to the organization of the Human Resource Office filing system; the upkeep of the employee files; the HR archiving system, and other HR related projects that may arise from time to time.

Responsibilities

  • Assisting in the development of human resource procedures and policies.
  • Administering the performance management system.
  • Administering and following up on the probationary reviews.
  • Coordinate performance review processes and ensure evaluations are completed.
  • Assist in the development and implementation of employee performance improvement plans.
  • Maintain and update employee records in the HR database.
  • Prepare HR and employee documentation.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
  • Handle inquiries regarding HR policies, procedures, and documentation.
  • Establishing, organizing, and supervising the maintenance of department records, ensuring complete accuracy and confidentiality.
  • Provide support to the HR Office to maintain required files and documents stored and accounted for at all times.
  • Ensure that accurate job descriptions are in place.
  • Provide all necessary information to payroll on time.
  • Support payroll processing by providing relevant employee information (e.g., leaves of absence, sick days, and work schedules).
  • Assist in the administration and processing of payroll (payroll cover).
  • Maintain performance reviews and personnel policies for the organization.
  • Registration of employees with Jobsplus with regards to employment and termination.
  • Support Administering all applications for work permits for TCNs.
  • Assist in handling employee inquiries and resolving the implementation of HR programs to foster a positive workplace environment.
  • Maintain and update HR policies and procedures.
  • Manage employee records and ensure they are up-to-date and properly filed.
  • Any other ad-hoc tasks that may be assigned to support the department.

Experience & Qualifications

  • Minimum of 1 year of experience in HR administration or a similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in HRIS and MS Office Suite.
  • Knowledge of Malta’s labour laws and regulations.
  • Ability to handle sensitive and confidential information with discretion.
  • A qualification in Human Resources would be preferred.
