Role Overview

Heroix is collaborating with the Client to recruit a Human Resources Administrator who will help deliver an organised and dependable HR service. This is an excellent opportunity for someone at an early stage of their HR career to gain practical experience in recruitment, employee administration, workplace communication and departmental support.

Key Responsibilities

  • Departmental Administration: Coordinate appointments, organise diaries, prepare routine paperwork and assist the People & Culture team with its daily workload.
  • Task Coordination: Monitor outstanding administrative matters and follow up as needed to support accurate and timely completion.
  • Employee Communication: Prepare staff announcements, draft emails and correspondence, and contribute to the smooth circulation of information within the Business.
  • Recruitment Support: Publish job opportunities, coordinate interview appointments, compile relevant interview materials and keep applicant information current.
  • Candidate Liaison: Communicate with applicants regarding meeting arrangements, recruitment progress and other practical details throughout the selection process.
  • Onboarding Administration: Prepare joining forms, obtain the necessary details from incoming employees and help coordinate checks required before employment begins.
  • Employee Records: Keep personnel information, supporting documentation and electronic filing systems complete, orderly and current under the direction of the department.
  • Document Management: Assist with drafting, formatting, filing and tracking different document versions while checking materials for accuracy and consistency.
  • HR Updates: Remind employees of upcoming dates, required actions and standard departmental procedures in line with established schedules.
  • External Coordination: Contact third-party providers regarding straightforward HR matters, submit routine requests and respond to general queries.
  • Team Collaboration: Work closely with colleagues in People & Culture and wider administration to promote well-coordinated departmental and office activities.
  • General Support: Carry out other appropriate administrative assignments provided by the People & Culture Manager according to business needs.

Qualifications, Skills and Attributes

  • Education: An O-Level standard of education, including passes in Mathematics and English, is required.
  • Experience: A minimum of two years’ experience in an administrative position is expected. Previous exposure to HR-related duties would be advantageous.
  • Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
  • Communication Skills: Strong written and spoken communication abilities, with the confidence to prepare clear correspondence and share information professionally.
  • Interpersonal Skills: A cooperative and approachable manner, together with the ability to build positive working relationships with employees, candidates, colleagues and service providers.
  • Technical Skills: Competence in Microsoft Word, Outlook and Excel, combined with the ability to use digital records and office systems effectively.
  • Organisation: The ability to prioritise regular administrative duties, meet agreed deadlines and maintain well-structured records.
  • Attention to Detail: A careful and accurate approach when processing information, reviewing documents and updating employee or candidate data.
  • Self-Motivated: A constructive attitude, genuine enthusiasm for learning and a clear interest in building a career within Human Resources.
  • Problem-Solving: The judgement to recognise routine administrative issues, take sensible action and seek guidance when necessary.
