Role Overview
Heroix is collaborating with our Client to recruit a Human Resources Clerk. This position will assist the Human Resources Manager with the coordination of personnel records, recruitment activities, employee administration, immigration processes and various internal initiatives.
The role would suit a dependable and methodical individual who enjoys administrative work, handles sensitive information responsibly and is keen to develop broader knowledge across different areas of human resources.
Key Responsibilities
- HR Administration: Assist the Human Resources Manager with the daily coordination of departmental tasks and provide practical support across ongoing HR activities.
- Personnel Records: Keep electronic and paper-based employee files complete, orderly and current, ensuring that information can be accessed efficiently when required.
- Deadline Monitoring: Update internal schedules and follow important dates relating to employment agreements, probation reviews, permits, learning activities and personnel-related requirements.
- Recruitment Assistance: Help manage vacancies by reviewing applications, contacting applicants, arranging meetings and keeping clear records throughout each stage of the hiring process.
- Employee Onboarding: Support incoming employees by preparing the necessary paperwork, gathering required information and coordinating arrangements before their first day.
- Work Permits: Assist with employment permit submissions and extensions through the relevant online systems, compiling supporting documents and checking the progress of outstanding cases.
- Employee Enquiries: Record questions or requests raised by staff members and refer them clearly to the Human Resources Manager for advice and further action.
- HR Programmes: Help organise appraisal exercises, staff learning activities and other internal people-related procedures.
- Employee Engagement: Contribute to staff initiatives, corporate gatherings, recognition programmes and activities intended to strengthen teamwork.
- Health and Safety Support: Assist with the preparation, organisation and recording of workplace health and safety information and reports.
- Additional Projects: Undertake further administrative assignments and contribute to departmental projects according to the changing needs of the Business.
Qualifications, Skills and Attributes
- Education: Relevant studies or training in human resources, business support or office administration would be advantageous.
- Experience: Previous exposure to human resources, recruitment, office administration or a comparable support position would be beneficial but is not essential.
- Language Skills: Excellent command of written and spoken English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Clear and professional verbal and written communication, with the ability to pass information accurately between employees, applicants and management.
- Interpersonal Skills: A courteous, helpful and tactful approach when interacting with colleagues and candidates, together with the ability to work effectively within a team.
- Technical Skills: Confidence using Microsoft Word, Excel and Outlook for correspondence, record-keeping and routine administrative work.
- Organisation: A structured approach to managing files, competing tasks and time-sensitive requirements without compromising accuracy.
- Confidentiality: Sound judgement and discretion when working with private employee details and other sensitive matters.
- Self-Motivated: A responsible and forward-looking attitude, supported by reliability, initiative and a genuine willingness to expand one’s knowledge.
- Independence: The confidence to complete assigned work with limited supervision while remaining comfortable seeking direction when necessary.
- Problem-Solving: The ability to identify missing information, follow up on pending actions and resolve routine administrative issues sensibly.
- Attention to Detail: A careful and consistent working style that supports reliable records, accurate documentation and well-managed internal processes.
