Roles & Responsibilities:
- Issuing detailed quotations for self-pay clients.
- Following up on quotations to confirm surgery booking, or otherwise.
- Negotiating with Operating Theatre Nursing Officer regarding booking of theatre cases.
- Booking of theatre cases as per theatre, surgeon and anaesthetist availability.
- Contacting patients booked for surgery and explaining admission pathway.
- Reminding patients about admission time and fasting time, as necessary.
- Informing patients about settlement of revenues, whether self-pay or insured, with possible short falls that need to be settled prior to admission.
- Accurately entering data into Hospital Information System (HIS) for preparation of surgeons’ theatre lists, booking of patients for theatre and theatre utilisation post operatively.
- Issuing patient bills accurately, as per quotation/insurance agreements, and in a timely manner.
- Verifying that referral forms, quotations, correspondence from insurance companies, and medical reports whenever available, are attached to the patient record on the HIS.
- Reminding surgeons and anaesthetists about the procedures planned for the next surgery day.
- Liaising with wards/unit for admission and transfer of patients.
- Processing letters and reports and corresponding with colleagues, patients, specialists and third parties.
- Retrieving and printing patient schedules, patient data labels and admission forms from HIS.
- Ensuring all documents required for billing are prepared, chasing up medical reports as the need arises.
- Chasing after insurance companies for guarantee of payment or otherwise.
- Issuing bills to patients in a timely basis (both insured in-patients and self-pay in-patients).
- Collecting deposits or dues from patients prior to admission.
- Corresponding with local and foreign insurance companies may be necessary.
- Attending all mandatory training as scheduled by the company.
- Working in accordance with all safe working policies and procedures.
- Keeping Manager informed of problems or issues that arise; performing other duties within the department, as assigned
Required Knowledge, Abilities & Skills:
- Multitasking skills.
- Excellent interpersonal communication skills and telephone etiquette.
- Fluent in written and spoken Maltese and English.
- Ability to maintain confidentiality.
- Demonstrates a commitment to quality improvement and excellence in customer service.
- Exercise proper courtesy, consideration, and sensitivity in dealings with patients, members of the public and other employees.
- Act with integrity in the performance of your official duties and in the use of official equipment and facilities.
- A positive can-do attitude and self-motivated.
- Ability to listen and learn quickly
- Ability to work under pressure and meet set deadlines
- Ability to work in a team environment
- Basic knowledge of Microsoft Office applications, especially Microsoft Excel and Word
- Organised, responsible with an excellent eye for detail and possess analytical skills
