Job Purpose
The Logistics Officer supports the Logistics Executive in the coordination and administration of the company’s logistics and import operations. The role focuses on assisting with shipment coordination, customs and shipping documentation, ERP updates, and communication with suppliers, freight forwarders, and internal departments to ensure the efficient movement of goods. The Logistics Officer plays a key operational and administrative role while supporting compliance requirements, maintaining accurate records, and contributing to the smooth day-to-day running of the supply chain function.
Key Responsibilities
- Support the Logistics Executive in the coordination of importation and logistics activities from shipment booking to final delivery
- Monitor shipment schedules and follow up with suppliers, freight forwarders, shipping agents, and transport providers regarding shipment status
- Prepare, process, and maintain shipping and customs documentation accurately and in a timely manner
- Assist with customs clearance processes, including documentation preparation, duty and tax coordination, and follow-up on release of goods
- Support compliance with regulatory requirements including Intrastat, excise (EMCS), labelling, and import-related procedures
- Maintain regular communication with internal departments to provide shipment updates and ensure supply chain visibility
- Verify freight invoices and assist with consignment costing and expense tracking
- Maintain accurate ERP records and ensure logistics-related data is updated correctly
- Organise and maintain proper digital and physical filing of logistics documentation
- Coordinate with Warehouse, Purchasing, Sales, and Finance teams to support operational efficiency and stock availability
- Assist in resolving routine shipment delays, discrepancies, and logistics-related issues, escalating complex matters where necessary
- Support the implementation and adherence to logistics procedures and standard operating procedures (SOPs)
- Build and maintain positive working relationships with external stakeholders and service providers
- Provide administrative and operational support for logistics and supply chain projects as required
- Carry out any other logistics-related duties assigned by the Logistics Executive or management
Requirements
- Experience in logistics, importation, supply chain, or administrative roles will be considered an asset
- Basic understanding of shipping documentation, customs procedures, and import processes
- Good organisational and administrative skills with strong attention to detail
- Ability to manage multiple tasks and work within deadlines
- Good communication and interpersonal skills
- Ability to work independently as well as part of a team
- Proficiency in Microsoft Office applications, particularly Excel
- Experience using ERP systems will be considered an asset
- Knowledge of Eyesel will be considered an advantage
- Problem-solving mindset with the ability to handle routine operational challenges effectively
- A valid driving licence
- A good command of the English language; knowledge of Maltese will be considered an asset
- Willingness to learn and develop within the logistics and supply chain field
