About This Job

The Office Clerk – Catering Department provides administrative and operational support to the Catering Sales team by maintaining accurate pricing and customer information, coordinating product and pricing updates, preparing sales and stock reports, and ensuring that sales representatives have the information required to provide excellent customer service. The role contributes to the smooth day-to-day operation of the department through accurate data management and efficient administrative support.

Responsabilities

  • Update and maintain stock card prices, promotions, and special offers within the company's systems.
  • Process and manage daily pricing and sales authorisations.
  • Maintain and update the product catalogue, ensuring all information is accurate and current.
  • Maintain customer master data, including assigned sales routes, customer categories, pricing structures, and other relevant information.
  • Communicate price updates, new products, and promotional information to the Sales Representatives in a timely manner.
  • Compile and distribute daily, weekly, and monthly sales, stock, and performance reports.
  • Provide administrative support to the Sales Representatives by responding to enquiries relating to stock availability, pricing, products, and sales information.
  • Maintain and regularly update the Offers Log File to ensure promotional activities are accurately recorded.
  • Generate and update customer-specific and customised price lists as required.
  • Ensure the accuracy and integrity of data entered into company systems.
  • Assist with general administrative duties including filing, document management, and correspondence.
  • Liaise with internal departments such as Purchasing, Warehouse, Finance, and Customer Care to ensure efficient communication and service.

Requirments

  • O-Level standard of education or equivalent.
  • Previous experience in an administrative or office support role.
  • Experience within the FMCG, food distribution, catering, or wholesale industry will be considered an advantage.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience using ERP or stock management systems is desirable.
  • Excellent organisational and administrative skills.
  • Strong numerical accuracy and attention to detail.
  • Good written and verbal communication skills.
  • Ability to prioritise work and meet deadlines.
  • Customer-focused with the ability to work effectively with internal stakeholders.
  • Ability to work independently as well as part of a team.
