Role Overview

We are seeking a Payroll Executive to join the Client's payroll function and manage payroll activities for a varied portfolio of organisations. The position involves overseeing the full payroll cycle, maintaining accurate employee records, supporting clients with payroll matters, completing statutory documentation and ensuring that payroll administration remains aligned with applicable Maltese requirements.

Key Responsibilities

  • Payroll Administration: Coordinate payroll activities for an assigned portfolio, ensuring that employee payments and related records are prepared correctly and within the required deadlines.
  • Payroll Calculations: Prepare calculations relating to additional hours, variable pay, incentives, allowances, leave and other adjustments affecting an employee's remuneration.
  • Employee Updates: Maintain payroll information following changes such as employee onboarding and departures, amendments to remuneration and internal career movements.
  • Client Support: Respond to payroll enquiries from clients, investigate differences or errors and provide appropriate assistance to resolve issues efficiently.
  • Statutory Documentation: Complete and file the necessary payroll and employment documentation, including FSS documentation, Jobsplus engagement and termination submissions, and Social Security Contribution forms.
  • Regulatory Compliance: Remain informed about developments affecting payroll, employment obligations and social security requirements in Malta, applying relevant changes to day-to-day work.
  • Authority Liaison: Communicate with relevant Maltese authorities when necessary and handle payroll-related matters concerning the assigned client portfolio.
  • Records and Accuracy: Maintain complete and reliable payroll information, carrying out appropriate checks to minimise errors and ensure records remain up to date.

Qualifications, Skills and Attributes

  • Education: An A-Level standard of education is required. A recognised qualification or certification relating to payroll administration would be considered advantageous.
  • Experience: Previous hands-on experience within payroll or a closely related position is required, with the ability to independently handle recurring payroll responsibilities.
  • Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
  • Communication Skills: Strong written and verbal communication abilities are required to explain payroll matters clearly and correspond professionally with clients and external bodies.
  • Interpersonal Skills: A professional and service-oriented approach is important when supporting clients, collaborating with colleagues and dealing with confidential employee information.
  • Technical Skills: Good working knowledge of Microsoft Word, Excel and Outlook is required, together with experience using Shireburn. Familiarity with Maltese employment requirements and social security legislation is also essential.
  • Organisation: Strong planning and time-management abilities are required to coordinate multiple payrolls, documentation requirements and recurring deadlines.
  • Attention to Detail: A careful and methodical approach is essential, particularly when working with calculations, employee data, statutory submissions and payroll adjustments.
  • Self-Motivated: The successful candidate should be dependable, proactive and comfortable taking responsibility for their assigned workload while contributing positively to the wider team.
  • Problem-Solving: The ability to identify inconsistencies, investigate payroll issues and determine practical solutions is important for maintaining an accurate and reliable service.
