Role Overview
Our Client is seeking a Service & Compliance Coordinator to oversee the planning and administration of fire protection equipment works, including installations, maintenance, remedial interventions and certification. The successful candidate will coordinate technicians, manage service requests, monitor work quality and serve as a key link between customers, field personnel and internal departments.
Key Responsibilities
- Technical Team Coordination: Assist field personnel with daily operational matters, ensuring they receive accurate job details, documentation, materials and other resources needed to complete their assignments.
- Work Planning: Register incoming service requests, allocate appointments to technicians and establish priorities according to urgency and operational requirements.
- Progress Monitoring: Track ongoing assignments from initial booking through to completion, following up on outstanding activities and ensuring that records within the service management platform remain accurate.
- Quality Inspections: Visit customer sites when required to review workmanship and verify that maintenance and repair activities meet internal procedures, applicable legislation and recognised industry practices.
- Maintenance Oversight: Monitor planned maintenance visits and reactive interventions involving fire protection equipment, identifying any follow-up actions needed.
- Certification and Remedial Works: Prepare the relevant equipment certificates following satisfactory completion of works or arrange cost proposals where repairs, replacements or alterations are necessary.
- Customer Liaison: Provide clients with clear information on appointments, work status and service-related matters while representing the Company in a courteous and professional manner.
- Commercial Documentation: Draft and follow up on estimates, service arrangements, payment matters and documentation required for tender opportunities.
- Equipment Scheduling: Coordinate the servicing and availability of fire protection equipment in line with customer requirements and operational capacity.
- Records and Reporting: Maintain organised digital and physical files, prepare management reports, process scanned documents and assist with the administration of employee timesheets.
- Training and Additional Duties: Participate in learning activities and competency evaluations arranged by the Company and undertake other reasonable responsibilities connected with the position.
Qualifications, Skills and Attributes
- Education: An MQF Level 5 diploma or a higher qualification in an appropriate technical discipline, such as electrical or mechanical engineering, is required.
- Driving Licence: Applicants must hold a valid driving licence.
- Experience: Previous involvement in a role combining technical work with operational coordination is expected, ideally within fire protection, security systems, building services or facilities operations. Experience guiding technicians or arranging the work of a team would be advantageous.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Strong written and verbal communication abilities are required, together with confidence in preparing reports, technical paperwork and clear customer-facing information.
- Interpersonal Skills: The ideal candidate will build constructive working relationships with customers and colleagues while remaining respectful, dependable and professional in every interaction.
- Technical Skills: Candidates should be capable of understanding engineering plans and technical schematics. Knowledge of fire protection equipment, maintenance practices and certification requirements would be beneficial.
- Digital Skills: Competence in standard office applications and experience using job scheduling, maintenance or service administration software are required.
- Organisation: Excellent planning and time-management abilities are essential, including the capacity to balance competing priorities and respond effectively when schedules change.
- Self-Motivated: A proactive individual who takes ownership, seeks opportunities to develop and completes necessary actions with limited supervision will suit this position.
- Problem-Solving: The role requires sound judgement, composure under pressure and the ability to identify workable responses to technical or operational difficulties without compromising accuracy.
