About This Job

ADMINISTRATIVE ASSISTANT

OZO Group is looking for an organised and proactive Administrative Assistant to support our executive team, assist with operational coordination, and ensure the smooth running of day-to-day office activities.

This role would suit someone with strong communication skills, attention to detail, and the ability to manage multiple priorities.

Key Responsibilities

Executive & Operations Support

  • Provide administrative support to the CEO, the CEO’s Personal Assistant, and Chief Officers.
  • Assist with calendar management, meeting arrangements, and executive coordination.
  • Prepare reports, presentations, and executive documentation, and draft professional correspondence.
  • Support the Chief Operations Officer in tracking operational matters, monitoring key tasks, and escalating delays where necessary.
  • Coordinate operational updates across departments and ensure timely follow-ups.
  • Provide administrative support for operational decision-making and handle ad hoc administrative and coordination tasks.

Corporate Services Support

  • Assist the CEO’s Personal Assistant with corporate services responsibilities.
  • Maintain accurate and up-to-date company records, contracts, and official documentation.
  • Support general office organisation and administrative efficiency.

Procurement & Facilities

  • Coordinate facilities-related matters and liaise with service providers.
  • Manage fuel keys and monitor usage.
  • Maintain stationery inventory and ensure adequate stock levels.
  • Keep accurate records of IT equipment and company devices.
  • Source suppliers, obtain best-value quotations, raise purchase orders, and coordinate deliveries.
  • Coordinate onboarding logistics, ensuring workspaces, IT equipment, supplies, and access are ready for new employees.

  • Clear and professional written and verbal communication skills.
  • Confidence using office software to prepare documents, spreadsheets, and presentations.
  • Excellent attention to detail and discretion when handling confidential information.
  • A proactive, reliable approach and the ability to work independently and collaborate across departments.
  • Previous experience in administration, office coordination, or a similar role would be an asset.
