
About This Job
The Personal Assistant provides comprehensive administrative support to the Group’s directors. The PA serves as the primary point of contact for the senior management team, managing their day-to-day activities, communications, and administrative requirements. The role requires a professional individual who is an exceptional communicator with strong multitasking abilities, highly organised, discrete, and who adopts a proactive approach to anticipating the needs of the directors, while working in a dynamic environment. The PA provides a crucial support system to the directors, enabling their effectiveness while developing valuable business insights and professional connections.
KEY DUTIES AND RESPONSIBILITIES INCLUDE:
Executive Support
· Managing daily schedules, organising meetings, and maintaining accurate calendars.
· Handling communications (emails, phone calls, correspondence), responding on behalf of the Directors, when appropriate.
· Preparing agendas, minutes, and briefing documents ahead of key meetings or events.
Administrative & Secretarial Duties
· Drafting, formatting, and proofreading reports, presentations, and other documents, as required.
· Maintaining and updating filing systems, including confidential records and databases.
· Liaising with internal departments to coordinate workflows and ensure deadlines are met.
Personal Task Management
· Undertaking personal errands, ensuring any last-minute needs are handled swiftly.
· Proactively identifying opportunities to reduce the Directors’ personal ‘to-do’ lists.
Travel & Event Coordination
· Arranging travel bookings, including flights, accommodation, visas, and detailed itineraries.
· Booking restaurants, external venues, and events for both business and personal functions.
· Working closely with external providers (e.g., event coordinators, hotels, restaurants) to secure best-in-class service.
Diary & Task Management
· Anticipating upcoming deadlines, stakeholder requirements, and any personal obligations.
· Ensuring seamless time management by providing timely reminders and comprehensive schedule overviews.
· Maintaining a high level of flexibility to accommodate sudden changes or urgent priorities.
Stakeholder Engagement
· Acting as the first point of contact for visitors, calls, and business partners, offering a polished and friendly impression.
· Developing and nurturing relationships with suppliers and key partners.
· Exercising diplomacy and tact in sensitive or high-level interactions.
SKILLS & QUALIFICATIONS
· Proven experience (minimum 5 years) in a PA or Executive Assistant role, supporting C-suite or senior-level management.
· Familiarity with corporate and personal support responsibilities.
· Highly IT proficient, and able to master new applications and technology.
· Excellent organisational and time management abilities; adept at multi-tasking.
· Professional communication style (written and verbal), with a keen eye for detail.
· Strong interpersonal skills—able to interact confidently with senior stakeholders, clients, and third parties.
· High degree of initiative; comfortable solving problems independently and anticipating needs.
· Absolute discretion and trustworthiness when handling confidential information.
Additional Requirements:
· Flexibility to respond to last-minute or out-of-hours requests.
· A valid driver’s licence (where picking up items or personal errands are necessary).
· Cultural awareness and empathy, particularly when handling international travel or liaising with diverse groups.
