About This Job

Our client, a well-established provider of business and commercial services in Malta, is looking to hire an Associate - Office Management.

The position is open to support the office manager, perform reception duties when the receptionist is unavailable, and provide clerical support to the firm's service lines when required

Responsibilities:

  • Supporting the Office Management:

    • Process invoices, bookkeeping, maintaining budget book

    • Supporting procurement and vendor management

    • Booking flights, accommodation, visa applications and travel insurance

    • Scheduling meetings when required

    • Booking external vendors when required

    • Assisting office maintenance, upkeep & facility servicing

    • Support organising internal & external events

    • Help in coordinating & recording fire drills

    • Supporting supplier relationship management

  • Service Line Duties:

    • Supporting service lines with clerical duties from time to time depending on season and workload.

    • Preparing Audit reports and financial statements

  • Ad hoc Reception Duties:

    • Supporting service lines with clerical duties from time to time depending on season and workload.

    • Preparing Audit reports and financial statements

Requirements:

  • Good standard of education, preferably at Advanced Level.

  • Qualifications in administration or secretarial subjects would be considered an asset.

  • Proficient in Microsoft Office applications, particularly Word and Excel.

  • Excellent communication skills in English (understanding Maltese is considered an assest).

  • Highly organised and detail-oriented.

  • Able to multitask and prioritise effectively.

  • Be a good team player and a people person.

  • Pleasant personality with a client-oriented mindset.
