Front Office Manager
Role Purpose
The Front Office Manager leads and oversees all front-of-house operations, workplace administrative functions, and facility management services across the Group.
Serving as the front office for the firm’s physical and client-facing environment, this role is responsible for establishing and maintaining high levels of hospitality standards for clients, regulators, and various stakeholders.
The Front Office Manager drives operational efficiency, implements administrative workflows, manages workplace vendors, and ensures seamless administrative support across the firm.
Key Responsibilities
Front-of-House Leadership & Client Experience
- Direct and elevate the firm’s front-of-house operations, ensuring an impeccable, high-touch experience for corporate clients, visitors, regulators, and other stakeholders.
- Establish standard operating procedures (SOPs) for client receptions, call management, visitor security protocols, and general stakeholder engagement.
- Act as the senior escalation point for external communications, managing complex inquiries, high-level meeting arrangements, and VIP guest hosting.
- Oversee the aesthetic and functional presentation of reception areas and client meeting facilities to reflect the firm’s brand standards.
Office Operations & Facilities Management
- Lead the day-to-day coordination and strategic optimization of office operations, facilities, and physical infrastructure.
- Manage supplier and service-provider relationships, including catering and cleaning supplier teams.
- Supervise workplace health and safety protocols, ensuring compliance with local statutory regulations and corporate security policies.
- Oversee meeting room logistics, board meeting preparation, and executive events.
- Drive the planning and execution of internal corporate activities, staff events, training sessions, and corporate hospitality functions.
Governance, Archiving & Executive Support
- Supervise document governance, retention, and archiving frameworks, ensuring all hard-copy and digital records are cataloged, securely stored, and retrievable in line with regulatory requirements.
- Coordinate high-level administrative support across departments, ensuring effective delegation and workflow efficiency for senior leadership and board secretarial tasks.
Experience & Qualification
- Proven Management Track Record: 3–5+ years of experience in Front Office Management, Facilities Oversight, or Senior Administrative Management within a corporate setting.
- Sector Knowledge: Experience within the Financial Services Industry would be beneficial but other experiences in the hospitality and real estate sectors would be viewed favourably.
- Vendor & Budget Oversight: Experience negotiating service contracts, managing facilities budgets, and supervising third-party contractors.
